Privacy Policy
Introduction
GearLife is an app for documenting and managing home equipment — PC builds, devices, IoT devices and appliances, including warranties, lifecycle events, and attachments. This Privacy Policy explains what data the app processes, for what purposes, and what rights you have as a user.
The data controller is the developer of GearLife (see contact details below). The app is designed to process as little data as possible — it stores data locally on your Apple device and syncs it exclusively through your own iCloud account.
1. What data the app processes
1.1 Data you enter
The app stores only information that you enter yourself:
- Names, categories, manufacturers and descriptions of devices and builds
- Purchase prices, purchase dates, warranty lengths, e-shops
- Serial numbers, EAN codes
- Photos of devices taken from the camera or selected from the photo library
- PDF attachments (invoices, warranty cards) uploaded from your device
- Notes, tags, locations (rooms), owner names within the household
- Product URLs from e-shops (Alza, CZC, Amazon, etc.)
- Lifecycle records: transfers, handoffs, service interventions, upgrades
All this data is stored locally in the app on your Apple device. It is synced exclusively through your own iCloud account (see below) — it is not accessible to the developer or any third party.
1.2 Data when using specific features
URL scraping (automatic product data retrieval)
When you enter a product URL from an e-shop, the app sends an HTTP request directly to that URL to download metadata (name, price, image). This request goes directly from your device. The app does not store or transmit your IP address or other identifiers. The e-shop's data processing terms apply.
EAN / barcode lookup
When you scan a barcode, the app sends the scanned EAN code to the UPCitemdb database (upcitemdb.com) to look up product information. Only the EAN code is sent — without your name, location, or other personal data. The upcitemdb.com provider's terms apply.
Push notifications
The app can send local push notifications (alerts about upcoming warranty expiration). These notifications are generated solely locally — they do not pass through external servers and do not require transmission of any personal data.
1.3 What the app does not process
- The app does not require account creation or registration.
- The app does not collect analytics data about user behavior.
- The app does not use advertising networks or tracking technologies.
- The app does not send data to the developer's own servers.
- The app does not use third parties for analytics (Firebase, Mixpanel, Amplitude, etc.).
2. System permissions
The app may request these permissions:
Camera — to take photos of devices or scan EAN barcodes. Access is requested only when you activate the feature.
Photo Library — to select existing photos from your device. Access is requested only when you select a photo.
Notifications — to alert you about upcoming warranty expiration. This permission is optional — the app works without it.
File Access — to upload PDF files to records. File access outside the app's sandbox is requested only when you select a file.
3. Legal basis for processing (GDPR)
The app processes your data on the basis of the following legal grounds under Regulation (EU) 2016/679 (GDPR):
- Performance of a contract (Article 6(1)(b)) — processing of data necessary for the operation of the app, which you have requested by downloading and using it.
- Legitimate interest (Article 6(1)(f)) — local data processing to provide app features (warranty tracking, lifecycle management).
- Consent (Article 6(1)(a)) — for optional features such as push notifications, where you explicitly confirm your consent in the system dialog.
4. Data storage and security
All data you enter into the app is stored locally in a protected sandbox on your Apple device. Access to this data is subject to your device's security (Face ID, Touch ID, passcode).
Photos and PDF files are stored in the app's directory. Database data is managed through SwiftData (Apple framework).
iCloud sync
The app uses iCloud (CloudKit) to sync data between your Apple devices signed in with the same Apple ID. Data is transmitted and stored on Apple's servers within your iCloud account — encrypted and accessible only to you.
The app developer has no access to your data in iCloud. Apple's processing of data is subject to Apple's Privacy Policy. You can disable iCloud sync at any time in Settings → [Your Name] → iCloud → GearLife.
The app does not send data to any of the developer's servers — all communication takes place solely between your device and your own iCloud account.
5. Sharing data with third parties
The app does not share your personal data with third parties except in the situations described below:
UPCitemdb — when you scan a barcode, the EAN code is sent to this database. Their terms apply.
E-shops (URL scraping) — when you enter a URL, the app makes a direct HTTP request to the e-shop. The e-shop's terms apply.
Apple App Store — downloading and purchasing the app takes place through the App Store. Apple processes payment information according to its own terms. The developer has no access to your payment data.
Data export (at your request) — the Export feature allows you to export data to YAML or JSON and share it via Share Sheet. You are responsible for the security of exported data after it leaves the app.
6. Your rights (GDPR)
As a data subject, you have the following rights:
- Right of access — the right to obtain confirmation of whether your personal data is being processed.
- Right to rectification — the right to correct inaccurate or supplement incomplete data.
- Right to erasure — deletion of data directly in the app or by uninstalling the app.
- Right to restrict processing — the right to request restriction of processing of your data.
- Right to portability — export of data in a machine-readable format (YAML/JSON).
- Right to object — the right to object to processing of your personal data.
- Right to withdraw consent — consent (e.g., notifications) can be withdrawn at any time in system settings.
Since the app operates without a user account and data is stored locally, most of these rights can be exercised directly in the app without contacting the developer.
You also have the right to lodge a complaint with a supervisory authority — in the Czech Republic this is the Office for Personal Data Protection (uoou.cz), in Slovakia the Office for Protection of Personal Data (dataprotection.gov.sk).
7. Children
The app is not intended for children under 13. We do not knowingly collect personal data of children. If you believe a child under 13 has provided personal data to the app, contact us and we will promptly delete such data.
8. Future versions and cloud synchronization
The app uses iCloud CloudKit to sync data between your devices. In version 1.2, we plan to offer family sharing through CKShare — household-shared data will be stored in a shared iCloud zone accessible to all household members. This Privacy Policy will be updated before this sharing feature is introduced.
9. Changes to this Policy
This Privacy Policy may be updated from time to time. We will notify you of material changes through an in-app notification or update to this document. The date of the last revision is shown in the page header.
